When an SMB decides to automate, the tooling question comes up fast, and two names dominate the searches: Power Automate, the orchestrator built into Microsoft 365, and n8n, the open-source alternative you host yourself. Both move data between your systems; everything else differs.

Two philosophies

Power Automate lives in your Microsoft tenant. It inherits your accounts, your permissions and your governance. You turn it on, you do not install it. Its economics follow the Microsoft logic: per-user licences, premium tiers for advanced connectors.

n8n is software your IT team installs on a server, at a Canadian host or on your premises. The code is open, connectors number in the hundreds, and the cost depends neither on user count nor on execution count: it depends on your capacity to host and maintain it.

Four criteria to decide

1. Your ecosystem. If your company lives in Microsoft 365 (Outlook, Teams, SharePoint), Power Automate starts with an unbeatable head start: native connectors, authentication already solved, approvals inside Teams. If your systems are heterogeneous (Google, line-of-business tools, databases), the advantage flips.

2. Data residency. It is the criterion comparisons forget, and it counts double in Québec. With a self-hosted orchestrator, data transits through your server, period. For processes that touch personal information, that control simplifies Law 25 compliance: you know exactly where every field goes. With a cloud platform, you must verify hosting regions and the contract.

3. Total cost, not the licence. Power Automate looks included, until a premium connector or an execution volume reveals the paid tiers. n8n looks free, until you count the IT hours to host, monitor and update it. The right comparison: three years of licence costs on one side, hosting plus IT time on the other, for YOUR volumes.

4. Who will maintain it. A Power Automate flow can be adjusted in a few clicks by the person who uses it. A well-built n8n workflow adjusts just as easily, but someone has to keep the server alive. No internal IT comfortable with a server? The choice is already made.

Where each one wins

Power Automate wins when: everything lives in Microsoft 365, volumes are modest, data is low-sensitivity, and the team wants to adjust its own flows.

Self-hosted wins when: systems are varied, volumes are high, data residency is non-negotiable, and an IT team able to operate it exists.

And in many SMBs, the honest answer is: neither is enough. As soon as the process demands fine business rules, judgment or a human in the loop, the orchestrator (whichever one) becomes the plumbing, and the intelligence gets built custom on top.

The real question is not the tool

A bad process automated with the best tool remains a bad process. Before comparing licences, map the process, measure what it costs and check that the data is ready. The tool gets picked last, and often it picks itself once the context is laid out.
